Applications are invited from suitably qualified individuals to fill the position of Administration Assistant. This position reports to the Finance Officer.

General job description
The Administration Assistant position exists to provide administrative support for all operational activities. S/he designs and implements Administration Policies for the organization. Critical tasks for the Administration Assistant include, but are not limited to: Procurement and management of stocks according to policies; Asset management; Transport and logistics; Assist in preparation and collection of data for such monthly, quarterly and annual reports as may be required from time to time; Attending to queries, enquiries and complaints to ensure quality service; Ensuring accurate maintenance of files in accordance with policy and compliance standards; Assist in preparation and maintenance of all HR records in line with statutory and operational requirements; Submitting PAYE, NSSA and other returns; Organising meetings/workshops and ensuring that refreshments, documents are provided and attend seminars and meetings as may be directed; Assist in preparation of board packs ensuring that they are delivered in time; Managing petty cash; Property management; Assist in Human Resources


Requirements
Qualifications and experience required

At least 4 years work experience in administration and human resources, with a University Degree in Administration or any other relevant qualifications; A clean class 4 drivers licence; Extensive administrative experience at senior level; Excellent skills and knowledge of administrative and human resources systems and procedures

She/he must also have: The ideal candidate will be able to demonstrate that they have the necessary administrative, technical skills, experience and competence to immediately add value to the work of the organization; Be results oriented; Full proficiency with MS Office software (i.e. Word, Excel, and PowerPoint) required; Ability to deal with sensitive issues and maintain confidentiality; High level of negotiation, problem solving and decision making skills; High level of motivation, demonstrated analytical skills and ability to think independently; Ability to meet deadlines and work under pressure; Good communication, interpersonal, strategic planning, problem solving, organizational skills; Resourceful in resolving emerging problems.
