Job Description:
A reputable Manufacturing Organization is looking to hire a Personal Assistant to the Chief Financial Officer ( CFO). Suitable candidates are invited to apply for this position.
Responsibility
Actively take responsibility for providing the support required by the CFO
Confidentially use initiative when action needs to be taken
Efficiently manage conflicting priorities and deadlines
Develop and maintain effective relationships with all internal and external customers
Make an ongoing contribution to systems development and quality improvement
General Administration
Perform word processing duties with care and consideration, often involving confidential material
Proactively compose and type letters on routine matters for CFO’s approval
Assemble and submit relevant data from files etc. and compile statistics and information as directed in a timely manner to meet reporting deadlines.
Actively manage (including screening) mail, telephone calls, emails, letters and visitors for the CFO
Respond in a timely fashion to correspondence, bookings, filling etc.
Answer questions and provide information in order to save time of the CFO
Prepare luncheons and handle administrative side of conferences, seminars
Performs additional duties as needed and/or assigned.
Preferred Skills:
Qualification
A degree in Business Administrative or related field.
5 years’ experience in an Executive Assistant position
Must have excellent computer skills, including proficiency using Microsoft Office (Outlook, Word, Excel, PowerPoint, and Visio).
Must have the ability to handle many tasks simultaneously, with speed, accuracy, and courtesy while remaining cool under pressure, show initiative, and exhibit exceptional level of insightful planning and understanding of abstract concepts. Can pivot/adapt to rapidly changing priorities, while keeping track of projects that are put on the back burner as a result.
Must possess good organizational, written and verbal communication skills. For example, can synthesize complex ideas, break-down the big picture into detailed action steps, and is good at making and following plans.
Must maintain strict confidentiality in working with sensitive data, and possess excellent judgment in handling communications, expenses, budgets, other issues and personal relationships.
